Synchronising Outlook for your computers by Thomas Holz

Notebooks are costing less every day so it’s quite normal if you own a second computer. And a second installation of Outlook. Wouldn’t it be great if your two Outlook installations always had the same data? Yes, that’s possible and they call it synchronizing.

Outlook normally keeps all your mails, calendars, task, etc. in a single huge file. If you don’t change it, it’s named Outlook.pst. So the first idea a single could have is to copy that file over to the other pc. And that would work, indeed. However, it’s a bit tricky to find it. Here’s a checklist:Double-click Outlook > Open the folder tree > Right-click the root object > Choose “Properties” > Choose the button “Advanced”

In this dialog you’ll find the so-called qualified path of your PST file. You can basically copy it to the other pc. It’s important to note that you can only copy / replace that file while Outlook is currently closed. If you want to automate the copying of the file, use Easy2Sync for Files (Freeware Edition).

But a single can only copy the pst file if Outlook is currently closed. And when you replace the Outlook.pst file, you should note that you’re replacing absolutely everything. That can pose a problem if you changed contacts on both pcs since the last time.

So we need something better. Copying the file isn’t good enough. We need to synch the contents. The problem is: You can’t do that by copying files. You need a special solution to to the job. But the upside is: There’s a great solution available that does all the work for you. It’s called Easy2Sync for Outlook. The solution is specialized on Outlook sync jobs and does all the hassle of observing where objects were changed and transfering the changed items. So you don’t have to copy files any more, you just have to start the synch. And you don’t have to worry which pc has the latest version because the synch solution will automatically sort this out for you.

But there’s more. A synch solution also enables you to exclude some part of your tasks from the synch, since you’re not copying the entire file any more. You can e.g. exclude Outlook folders that you don’t want, or limit the synch to your calendar items. Or you can synch all except the public calendar items and so on.

So, a great synch solution like Easy2Sync can save you a lot of nerves. Copying pst files may be a good start for testing things, but to work effectively you should use a realiable synch solution.
